Phases, budgets, rates

Add and name phases, choose a budget in money or hours, and control where the rate comes from. New phases stay in creation order and cannot be reordered.

Add and name phases

  1. Open the project's menu and choose Edit project.
  2. In Phases, choose Add phase, enter a name, then choose Add or press Enter.
  3. To rename a phase, edit its name in the row. The new name is saved when you leave the field.

Each new phase is added at the end of the list. Phases stay in the order you created them, and you cannot reorder them later. Add them in the order you want them to appear.

A phased project always has at least two visible phases. A Free project can have two phases. A Pro project can have more. You can only remove a phase that is empty.

Choose a money or hours budget

Each phase can have one budget, in money or in hours. Phased saves the figure you entered. It calculates the other unit from the rate that currently applies to the phase.

The budget is also the agreed price. Phased measures budget health and effective rate against it. If you go over the budget, you can still track time, and the price does not go up.

A phased project's Budget row offers two ways to enter the budget:

  • Per project divides one total equally between the phases. Each phase row shows its share, but you cannot edit it there.
  • Per phase lets you enter a different budget in each phase row. The Budget row shows the combined total.

In Edit project, if you switch between money and hours, Phased converts the saved budget into the new unit. In New project, switching clears the figure, and you type it again. When you edit or remove a budget, the price, health and effective rate update straight away. Reports you already created do not change: they keep their saved work, budgets and amounts.

Understand which rate applies

Phased checks for a rate in this order and uses the first one it finds:

  1. A custom rate on the phase.
  2. A custom rate on the project.
  3. Your workspace default rate.

Set a project rate on the Rate row, under Budget, in New project or Edit project. Choose Custom to enter it.

To give each phase a different rate, open the Rate row and choose Per phase. Each phase gets its own field. If you leave a field empty, it shows in grey the rate the phase uses instead.

Choosing Per project again clears the phase rates. Choosing Default clears the project's own rate. Custom project and phase rates need Pro.
