Choosing a report
A Phase or Project Report for agreed work and amounts, a Time Report for entries in a date range. Client Time Reports are Free, the rest are Pro.
Choose the report by what you need to send
Start with the reader and the work you want to cover. Phased offers three reports you can create now:
- Phase Report: one phase for a client, with its agreed work and optional Additional Work.
- Project Report: a whole project, or several chosen phases from it, for a client.
- Time Report: tracked entries for a date range, across one or more projects. Write it for a client or for yourself.
Phase Report or Project Report
Choose Project report under Reports › New report. Select the project, then choose its scope. One selected phase creates a Phase Report. A whole project or several selected phases creates a Project Report.
Choose how much client-facing detail to show:
- Itemised lists each client-visible task and its hours.
- By phase gives a compact phase overview on a Project Report.
- Summary gives a concise statement without task detail.
These reports never show your effective rate, profitability, budget health or private notes. Original Work and Additional Work are kept separate when Additional Work is included.
Client or internal Time Report
A Time Report covers a date range rather than one project. Create it from Reports › New report › Time report, or from the Time page. Use Written for to choose the reading:
- Client shows totals and what was worked on. Entry notes stay private.
- Internal adds averages, Additional Work, unpriced time and entry notes.
A client Time Report can cover several projects for the same client. It cannot cover tracked work for two named clients. If it does, Phased asks you to choose a narrower scope.
You can change a Time Report's audience later through Edit. Changing it to Internal needs Pro. Changing an Internal report to Client is blocked when its frozen rows cover more than one client.
Why Create report may be unavailable
The report form needs enough complete work to freeze an accurate copy:
- Choose a client project and, for a phased project, at least one phase.
- Track some time in the selected scope.
- Stop every running timer included in the report.
- Give each selected phase a client rate or a money budget for its Original Work.
- When Additional Work is included, give it an available rate or a valid custom rate or fee.
Creating a report saves it in Reports. It does not send anything to the client. Open the saved report to check it, then use Download or Export PDF to create the file you deliver.
