Phase and Project Reports

Choose one phase for a Phase Report or several for a Project Report. Creation freezes the work and money figures, and a new version captures later changes.

Create a Phase or Project Report

Open Reports and press New report, or choose Create report from a project menu on Projects. Both open the same form.

  1. Choose the Project.
  2. Choose Whole project, or choose Phases and select the phases to include.

    One selected phase creates a Phase Report. A whole project or several selected phases creates a Project Report. A simple project reports as a whole.

  3. Pick the Detail. Phase Reports offer Itemised or Summary. Project Reports also offer By phase.
  4. If the selected work includes Additional Work, decide whether to include it and how to price it: Default rate, Custom rate or Fixed fee.

    Fixed fee is offered on a Phase Report. It is also offered on a Project Report when Additional Work belongs to one phase. Leaving it out is a real choice too: the report then covers agreed work only.

  5. Under Appearance, choose whether to include your logo and the client's contact details.
  6. Press Create report. Open the saved row to preview it, then download its PDF when it is ready to send.

What freezes and what stays live

Create freezes the project, phase and client names, the selected work, hours, currency, rates, fees and amounts. Editing the project, changing a rate, reassigning the client or tracking more time does not change those facts on the saved report.

Some presentation choices stay editable. Open the report menu and choose Edit to change its detail level, how Additional Work is shown, or whether the logo and client contact block appear.

Your current studio name, logo, studio contact details, number format, date format and plan branding are applied each time the report renders. Changing one of these can change how an older report looks. Its frozen work, client details, currency and amounts stay unchanged.

To capture newer hours or prices, create another report. Phase and Project Reports receive the next version number. The newest row carries the Latest label, while earlier versions remain available.

Reported and paid

Creating a Phase Report immediately marks that phase Reported. Creating a Project Report does not mark any of its phases Reported. This happens when the report is created, before you download or send it.

Reported and Paid are separate phase flags. Open the phase status menu on Projects to mark either one, or undo it. Paid appears ahead of Reported in the status column. A project with several phases shows progress such as 1/2 paid until every phase agrees.

On a phased project's own menu, Mark all reported and Mark all paid update every phase at once. Changing these flags does not edit a report that has already been created.

Download, archive or delete a report

Creating a report saves it in Phased. It does not email or share it. Use Download in the preview, or Export PDF from the row menu, to create the file you send.

  • Archive hides the report from the current list. Use the archived view to restore it.
  • Delete permanently removes the report contents and cannot be undone.
  • A deleted report's number remains retired, so a later report never reuses it.
