Archiving and deleting

Projects and clients with history are archived. Phases are removed only when empty, entries delete with Undo, and deleting a report purges its saved contents.

Choose archive or delete

Archiving hides a record from everyday work while keeping its history. You can restore it later. Deleting removes content permanently and is available only where the app can preserve the records that depend on it.

The exact rule depends on the record. Projects and clients can be archived. Reports can be archived or permanently deleted. Phases do not archive. Time entries are deleted as corrections and offer a short Undo.

Projects

Open a project's menu and choose Archive project. It moves to the archived view and keeps its time, budgets and reports. To bring it back, view archived projects and choose Restore project.

Delete project appears only when the project has no time entries, no reports, and no phase marked reported or paid. It permanently removes the empty project, its phases and their task labels. Once the project has history, archive it instead.

Phases

Phases do not archive. Use Mark done to show that work is finished while keeping it in project totals and reports.

To remove a phase, choose Edit project, open that phase's Settings, then choose Remove phase. Removal is permanent and works only when all of these are true:

  • The phase has no time entries.
  • It is not marked reported or paid.
  • No current or deleted report names it.
  • At least two visible phases remain on the project.

If a phase has time, move those entries to another phase first. Any task labels left on the now-empty phase are removed with it.

Time entries

Delete one entry from its editor or from the week list row menu. A single delete normally happens without a confirmation because correcting time is common. The success message offers Undo for ten seconds.

A single entry asks for confirmation when its phase is already reported or paid. The saved report stays unchanged, but the live project totals change. Deleting several selected entries always asks first, then offers the same Undo for entries that were removed.

Reports

Choose Archive to hide a report from the current list while keeping its frozen content. Switch to Archived reports and choose Restore to bring it back.

Choose Delete to destroy the report's content permanently. It cannot be rendered or restored afterwards. Phased keeps only an invisible identity record so the report number or version number is never reused.

Clients

Archive client removes a client from pickers but keeps it on existing projects and reports. Restore client makes it active again.

A client can be permanently deleted only when no active or archived project refers to it. If a project still refers to the client, a delete request archives the client instead. Bulk deletion follows the same rule for each selected client.

Your account

SettingsSign-in & securityDelete account permanently removes the account and its work data. There is no Undo. Export a backup first if you want to keep a copy.

If a paid subscription is still running, Phased cancels it immediately before removing local data. You give up any unused paid time. If the cancellation fails, the account and its data stay intact.
