Clients

Clients and projects

Save a client's contact details and assign one client to each project. Reports can carry a frozen client block, and archiving hides the client from pickers.

Create a full client or a name only

Use ClientsNew client when you want the full record. It stores the client's name, email, phone, address and a private note.

The New client form: Name, Email, Phone, Address and Note, with a note under the contact fields saying where they print on a report. The New client form: Name, Email, Phone, Address and Note, with a note under the contact fields saying where they print on a report.

You can also create a client while choosing one for a project. Type a new name in the Client picker and press the + Create row. This quick path stores the name only. Use the toast's Add details action, or edit the client from the Clients page, to add the remaining information.

Assign a client to a project

A project carries at most one client, set from the same Client row on both New project and, later, Edit project. The row reads Add until you choose someone.

  1. Open New project, or open an existing project’s menu and choose Edit project.
  2. Press the Client row.
  3. Search for the client by name, or type a new name and press the + Create row that appears.
  4. Choose the client from the list, or choose No client to clear it.

What appears on documents

A Phase Report or Project Report can include a Prepared for block: the client’s name, address (one line per line you typed) and email or phone. It is controlled by the Include contact details checkbox in the report's Appearance settings. It is on by default. A Time Report never carries this client contact block.

  • Only the name, address, email and phone can print. The private note never appears.
  • A project with no client has no Prepared for block, even when the checkbox is on.

The client details in this block freeze when the report is created. Editing the client afterwards, reassigning the project to someone else, or archiving the client does not change a report already made. It keeps the client details it had when it was issued.

Archive, restore or delete a client

Archive a client when you no longer need to choose them for new work. Archiving removes them from client pickers, but existing projects keep their assignment. Use the Clients status filter to show archived clients, then choose Restore client to make one available again.

  • A client with any project, including an archived project, is kept as history and can only be archived.
  • A client with no projects can be permanently deleted.
  • Bulk Delete follows the same rule. Empty clients are deleted, while clients still used by projects are archived.
