Reuse the setup for work you do repeatedly.

Repeat projects often use the same phases, fee split, rates, and task names. Re-entering that structure wastes time and creates small differences between jobs that should work the same way.

A template fills in the repeatable project setup. Your task library keeps the names you use while tracking work. Together they give the next project a consistent starting point without locking you into it.

Choose a template to prefill the project.

Choose a template while creating a project. Phased fills in the phases, their budgets, any phase-specific rates, and the task groups assigned to each phase.

Review and edit the prefilled form before creating the project. After creation, the project is independent from the template, so later template edits cannot change it.

Store budgets and rates, not only phase names.

The template list summarises the project budget, phase structure, rates, and task groups. A project can use one price split evenly or separate amounts that add up to the total.

Each phase summary shows only values that differ from the project default. A simple project with one budget and no visible phase breakdown therefore needs no phase summary.

Keep one library of consistent task names.

A task names the work recorded by a time entry. Reports can group entries by those task names, so consistent naming makes later review and reporting clearer.

Store standard names in reusable groups instead of recreating them for every project. The Default group collects new names you create while logging time.

The picker offers what belongs to this phase.

The task picker lists the names available to the selected phase. A dot marks a task that has already been used on that phase.

When several scopes apply, the picker separates them into Global, Project, and Phase tabs: names available everywhere, on this project, or only on this phase. Search results show where each task belongs, so you can find the right name without scanning every group.

  • Use Save as template in the project form after entering a useful setup.
  • Phased remembers the phases, budgets, rates, and task groups you entered.
  • The template fills in the next form, but the new project remains independent afterwards.

Choose where each task name appears

  • Keep common task names available everywhere, such as Meetings or Admin.
  • Limit specialist names to the projects or phases where they make sense.
  • The task picker then stays useful without showing every name on every job.

Save new task names as you work

  • Type a new task name in the picker to create it immediately.
  • Phased keeps it as a future suggestion, so the same wording is easy to reuse.
  • Organise standard names into groups instead of rebuilding a task list for every project.

Common questions

If I edit a template, do the projects I already made change?

No. A template fills in the create form and then its job is done. The project keeps whatever it was created with, so you can rework a template for the next job without touching the last one. Deleting a template is safe for the same reason: the projects made from it keep every phase, budget, rate, and task group.

Do I have to build a template from scratch?

No. Set up a real project first, then use Save as template in the create form. Phased copies its phases, budget, rates, and task groups. You can also build a template directly from the Templates page when you need a setup you have not used before.

Are templates on the free plan?

Templates are a Pro feature, and so are task groups. The task library itself is not: the suggestions in the picker and the names that save themselves as you type are on every plan, free included.

Can I tick a task off when it is finished?

No, and that is deliberate. A task in Phased names what you worked on, so an entry can be filed under it and a client report can itemise it. It is not a checklist item with a state to maintain. What a task is worth is the time on it, and that lives on the calendar and the Time page.
