Choose the work and level of detail for a Phase, Project, or Time Report. Phased saves a report version with the figures you approved, ready to review and download. Later project edits do not change it.

Saved reports appear in the list. Select one to open the exact pages beside the list; the downloaded PDF uses the same saved figures.

A sent report should keep the figures you approved.

Clients may return to a report months after it was sent. If later changes to a rate, task, or time entry altered that document, you and the client could be looking at different figures.

When you create a report, Phased saves its own copy of the work, rates, and amounts. Review those exact pages, download the PDF, and know that later project changes will not rewrite what you sent.

Review the saved document before you send it.

Select a saved report to open its finished pages beside the report list. Zoom in and move between pages to check the content and presentation.

The preview uses the same saved report data as the downloaded PDF. Review the document after creating it and before sending the file to the client.

Each report version keeps its own figures.

A created report holds its own copy of the lines, rates, and amounts. Updating the live project later does not change that version.

When the reported work changes, create another report. Phased saves it as a new version beside the earlier one, and both remain available to review and download.

Use your own letterhead on Pro.

Add your logo and studio details to the letterhead. You can also include the client's name and contact details in a Prepared for block. The header shows the document number, issue date, and currency.

The body uses a simple A4 document layout rather than dashboard screenshots. Clients can read the work, hours, and amounts without needing to understand the app interface.

The rest of the toolkit

Three documents, one language

  • A Phase Report covers one phase. A Project Report covers selected phases or the whole project.
  • A Time Report covers a date range across the projects you include.
  • All three use a consistent document layout.

As much detail as the client needs

  • Itemised lists each client-visible task and its hours.
  • By phase shows one line per phase when a report includes more than one.
  • Summary shows the amount without task or phase detail.

Additional Work, priced on its own

  • Out-of-scope work can be kept separate from the original amount.
  • The report labels it Additional Work and shows separate hours and pricing.
  • You can include it, leave it out, itemise it, or show one summary line.

Common questions

Will a saved report change if I edit the project?

No. The report keeps the work, rates, and amounts it had when you created it. You can continue correcting time, rates, tasks, or project details without changing that saved version. The live project uses the new data; the earlier report keeps the figures you approved.

Can I change a report after I have made it?

You can change how the saved work is presented: the level of detail, how Additional Work appears, and whether letterhead or client details are shown. If the work, rates, or amounts need to change, create a new report version. The earlier version remains available.

Is my logo on it?

On Pro, you can add your logo and studio details to the letterhead and optionally include the client's details in a Prepared for block. Phase and Project Reports are Pro features. A client-facing Time Report is available on Free with a small Made with Phased credit instead of your logo.

Can the client see my notes?

No. Client-facing reports show the work and hours but exclude entry notes. Notes remain available in the detailed internal Time Report on Pro and in CSV exports from the Time page.
